ENTRY PREPARATION

Please be sure to review all of the information below before sending in your entry(s).

Part 1: General Specifications
Artwork that has been produced within two years of the deadline may be entered into the current competition, only if it was not entered in the previous two years' Annual. It can, however, be submitted to a different Annual.

All entries must be entered in the online entry system by the competition deadline. Offline payment forms and physical entries must be postmarked within 1 week of the competition deadline.

When completing your entry information, all sections marked with an asterisk are required. At the field of Title, do not enter your job title. This field is reserved for the title of your entry. Your job title should be selected from the drop down under Credit Information, if you are adding yourself as a credit to the entry. Although it is not required to complete more than one credit title, we strongly suggest filling in any credit information you may have. If there are one or two people who have worked on the entry, please do not fill in every credit title with their names; select only the titles that best represent their roles. Check all name spellings and be certain to include all credits before submitting your entry as we cannot guarantee the inclusion or corrections that are emailed to Graphis or handwritten.

All Gold and Platinum winning entries receive 1 complimentary certificate. The certificate is made out to the person who's name is entered in the field which asks for "Name to Appear on the Certificate if Selected as a Winner". Only enter the most appropriate person's name into this field; there can only be one name listed. If you do not want to present the certificate to one particular person, enter your company's name and the certificate will be presented to the company at large. We do not take responsibility for misspellings or incorrectly provided addresses.

Graphis reserves the right to edit the descriptions provided for each entry due to misspellings, grammatical errors and space limitations. If a description is not included and the intent of the piece is unclear, a description may be provided for you.

Payments will be accepted through credit cards, checks (made out to Graphis, Inc.), and bank transfers. We accept payment in U.S. Dollars. Your work cannot be judged without providing payment.

Part 2: Digital File Specifications
Graphis requires digital images to be uploaded during the Call for Entry process. A minimum of 3 Digital files must uploaded per entry. In Step 2 of the Entry Process, you must upload a thumbnail image and a large image to be used for Online Voting. In Step 3 of the Entry Process, you must upload the large image that will be used in the publication of the printed book if selected as a winner.
  • 1. Thumbnail Voting Image
    • Format: JPG
    • Resolution: 72dpi
    • Size: 468 pixels by 468 pixels that best represents your image.
  • 2. Large Voting Image
    • Format: JPG
    • Resolution: 72dpi
    • Size:953 pixels by 668 pixels.
      • If your image does not fit in this area exactly, please create an area with a white or black background; measure and center your image in this area.
  • 3. Large Image for Print
    • Format: TIFF
    • Resolution: 300 DPI
    • Color: CMYK (CMYK U.S. Webcoated (SWOP) v2 Color Profile highly preferred)
    • Image Size: The longest side of each image should measure at least 12 inches.
    • All digital files must be named with the appropriate entry number. Please place as many files as possible on one CD or DVD.

Part 3: Physical Entry and Category Specifications
Graphis no longer requires physical entries to be mailed in. However, if you are entering a book or annual report or feel your entry has a tactile quality that will be essential to the judging process, you must submit the physical piece. Be certain to follow these regulations:

Print all of the forms from the Call for Entries process. Enclose the invoice, itemized list, payment form and offline payment form or credit card invoice in the first package of entries.

Please print and attach entry labels to the back of all work sent in. Do not send in originals of work as we are not able to return them. Attach entry labels securely to the back of each entry by placing a piece of tape on each side of the label after trimming the extra white space off the label. If you submit a series, an entry label must be attached to the back of each piece in the series.

If the same piece entered in two categories, you must send two separate entries. For all entries, regardless of competition:
  • Do not individually wrap entries.
  • Do not mount any entries.
  • Do not tape campaigns together.
Poster Entries:
Oversize posters larger than 48" wide or high should be sent as reduced reprints.

Booklet, Brochure, and Publication Entries:
Please send the actual piece. Be sure to include photographed images of the work including the cover and a selection of the best spreads. Your digital files should include both the booklet, brochure or publication file and the photographs of the pieces.

Interactive Entries:
Please send in printouts of screen shots with entry labels attached to the back.

Letterhead Entries:
The digital files must include the individual eps, tiff or pdf files for each piece of the letterhead design (business card, envelope, etc.) You are also encouraged, but not required, to submit a high-resolution photograph of the letterhead design. Please refer to the Graphis Webstore and previous Letterhead publications for style reference.

Foreign Language Entries:
Translations must be included with entries in foreign languages. Please affix them to the back of the printed piece. Comprehensive credits are required for each entry and must be completed in full.

Product and Packaging Entries:
Please include printouts of photographed images of entries with entry labels attached. The physical piece is appreciated (rather than just a photo) whenever possible.
